By enrolling your child in our camps, you understand and agree to the following policies and guidelines:
1. CAMP REFUND POLICY (Subject to change without advance notice)
- Cancellations due to an "Act of God" will be credited toward a future event.
- Camp fees may be refunded, less a non-refundable registration fee of $50 per registered child. Written notification must be sent to Education@westwindsorarts.org as follows:
- Full Refund: Available only with written notification received by Monday, October 5 by 5pm
- Partial Refund: 75% of camp fees less non-refundable fees will be refunded with written notification received between Tuesday, October 6 and Monday, October 19, 5pm
- No Refund: will be issued after October 19, 5pm OR if a child is sent home due to behavioral issues, decides not to attend, or leaves the program early for any reason.
- If the camp is not a good fit: West Windsor Arts Council (WWAC) reserved the right to offer a partial credit (less the non-refundable registration fee) which can be applied for classes or camps until June 30, 2027. Parents are encouraged to coordinate with the Education Coordinator.
- Medical Refund: is available (less the non-refundable registration fee) if a camper cannot attend due to medical reasons, provided a physician's note accompanies the written request. If the camper attends any portion of the camp, the refund for the remaining days will be prorated based on days attended less the non-refundable registration fee.
2. WALK TO PLAYGROUND: As part of the full-day camp curriculum, campers may participate in supervised walks during recess within walking distance (no more than 1/4 mile) of the West Windsor Arts Center to and from the Maurice Hawk School playground.
3. IN CASE OF EMERGENCY: WWAC will make every effort to contact the parents, guardians, and emergency contacts listed on your form. If time does not allow or contacts cannot be reached, you authorize WWAC to secure necessary medical treatment, including hospitalization, anesthesia, or surgery. Parents/guardians assume full responsibility for all medical and transportation expenses and release WWAC and its staff from liability for illnesses or injuries occurring during the program.
4. CODE OF CONDUCT: WWAC strives to provide a safe, warm, and fun environment. Disruptive behavior—defined as behavior that presents a physical danger to self or others, or interferes with campers and staff—is unacceptable. This includes, but is not limited to:
a. Persistent refusal to follow WWAC health and safety protocols.
b. Abusive or bullying behavior toward other children.
c. Continued behavior that hinders activities (e.g., hitting, fighting, throwing objects, temper tantrums, or risky behavior).
WWAC reserves the right to determine the appropriate response to disruptive behavior. Consequences may include a discussion with the camper/parent, a warning, reassignment to an alternative class group, exclusion from an activity, or dismissal from camp.
5. RELEASE OF LIABILITY / HOLD HARMLESS AGREEMENT: West Windsor Arts follows current CDC health advisories but cannot guarantee that participants will not be exposed to or infected with an illness. By enrolling, you attest that your child has not been diagnosed with a transmittable illness or parasite (e.g., COVID-19, flu, cold, lice, ringworm, stomach bug). Sick children must stay home. You assume full responsibility for risks associated with exposure to illness and agree to waive, release, and discharge WWA and its board and staff from any liability or claims resulting from exposure or infection.
6. PHOTO AND VIDEO RELEASE: You grant West Windsor Arts permission to take photographs or videos of your child during camp sessions for educational or marketing purposes, in print or electronic media. For questions, please call 609.716.1931.
